Understanding the rules for sharing snippet groups

Background

When you create or manage snippet groups in Expand, several sharing rules apply automatically to ensure continuous access and security for your content. These rules vary depending on whether your groups are shared or personal, and on changes that may occur in your workspace.


Automatic sharing rules

Rule 1: Automatic transfer of ownership for shared groups


When the owner of a shared snippet group leaves a space or is removed from it, ownership of the group is automatically transferred to the owner of the space.


Why this rule? This rule ensures that a shared snippet group always remains manageable by someone, even if its original creator is no longer present in the space.


What happens in practice:

  • Your shared snippet group continues to function normally
  • The owner of the space automatically becomes the new owner of the group
  • All other users retain their existing access levels


If there are multiple space owners, we choose an owner at random.


Rule 2: Automatic relocation of personal groups


If you own an unshared snippet group and leave your current space, the group automatically follows you to your new space.


What happens in practice:


  • Your personal snippet group is moved to your new space
  • You retain all your owner rights
  • The group's content remains unchanged


Manage the ownership of your groups

Designate a new owner


As the owner of a snippet group, you can transfer ownership to another user of your choice.


  1. Access the sharing settings

Open your snippet group and click Share.


  1. Select the new owner

In the list of users with access to the group, you will see an Owner option available under Full Access.


Note: This option is only visible to individual users, not spaces or teams.


  1. Confirm the transfer

Once confirmed, the new owner takes over immediately.


What changes after the transfer


For the new owner:

  • They obtain all group administration rights.
  • They can in turn designate another owner.
  • They appear at the top of the list of users with access to the group.


For the former owner:

  • They retain full access to the group: they can continue to use and modify the group's content.
  • They can no longer designate another owner, as only the owner has this right.


Best practices


Please note: if you plan to leave a workspace, remember to transfer ownership of your shared groups before you leave.

Choose an active new owner who can continue to administer the group.


These rules ensure that your snippet groups remain accessible and well-administered, regardless of changes within your organization.
